Project Support Analyst

The Project Support Analyst will provide executive-level support to the Chief Operating Officer (COO) and provide corporate legal administrative support. The primary responsibilities of this role are to maintain the COO’s schedule, coordinate with internal and external stakeholders, work on operations related projects, support joint ventures, setup and maintenance of new entities, support and facilitate the Land Committee meeting, provide review support for legal documents/contracts and interact with our strategic partners and our internal operations teams on behalf of COO. The person will report directly to the COO and will be based in Imperial, PA.

Education/Skills/Knowledge required: • Bachelor’s degree in business administration and/or Paralegal certification. • Six or more years of professional executive support work history or paralegal capacity • Proficient in Microsoft Office Suite • Experience with transactions, title work, mortgage, and accounting • Excellent written communication skills are required, must possess strong verbal communication and interpersonal skills, • Demonstrate good judgment about prioritizing the completion of multiple responsibilities, • Familiarity with legal concepts relevant to the construction industry or to an in-house corporate legal practice, legal processes, systems and rules, or the interest and ability to learn, • Positive, tenacious attitude • Proven analytical and problem-solving abilities • Ability to work with high profile individuals externally, as well as collaborate internally • Ability to maintain confidentiality and discretion at all times.

Duties and Responsibilities: Administrative Support • Manage complex event logistics, • Coordinate executive’s calendars, schedule and arrange meetings/appointments. • Ensure COO is on task for meetings. • Prepare expense reports, compile spreadsheets and statistical reports. • Plan, attend, and take minutes of all leadership strategy meetings. • Prepare slide presentations, and ensure project documents are properly filed in document repository. • Schedules and arranged meetings/appointments and made travel arrangements. Legal, accounting and business support • Effecting company and partnership formations, and drafting and filing organizational and merger documents and related amendments, foreign registrations/qualifications, name reservations, annual reports, and EIN documentation; • Draft and review and edit various contracts and legal documents; • Provide legal information for prequalification applications and proposals. • Review and edit legal documents for commercial and residential real estate transactions • Ability to interact with our JV partners • Understanding of accounting principles • Act a liaison to legal vendors. Other duties as assigned and assistance with other departments as needed.
