Smartsheet Specialist / Analyst

SUMMARY: This Smartsheet Specialist will report directly to the major accounts PMO manager and is responsible for creation and support of specialized Smartsheet templates critical to project delivery lifecycle. The Smartsheet Specialist will support business objectives through ongoing administration and maintenance of Smartsheet in production. The Smartsheet Specialist is required to have a strong understanding of all project initiatives managed by the team, including understanding business requirements and desired business outcomes and will help ensure workflow optimization and operational improvements through oversight and development of the PMO Smartsheet portfolio workspaces. The ideal candidate is enthusiastic, self-motivated, and experienced in application support. Additionally, the position will be responsible for internal dashboards encompassing key metrics for the entire PMO.

POSITION DETAILS: • Long term contract with possible contract extension or hire • Standard Support hours: Mon-Fri 8:00am-5:00pm • Client Addendum will need to be followed. Copy will be provided at the time of candidates offer acceptance. Essential functions of the job: • Serve as technical resource in configuration, deployment and enhancements to Smartsheet and its integration or links to other enterprise application platforms • Support daily activities in managing set of projects in various phases of project lifecycle • Develop dashboards, forms, automations, templates, workflow, and reports within the Smartsheet platform. • Manage & provide administration support to the Smartsheet needs of entire PMO team • Create, maintain or improve the technical aspects of how Smartsheet links within itself and to other key operational systems across the organization • Create, maintain or improve oversight of how Smartsheet alerts function to key stakeholders • Create, maintain or improve forms that relate to key operational processes • Troubleshooting and repair formulas within Smartsheet • Participate in project meetings with various types and levels of stakeholders • Develop and maintain project reporting (Smartsheet sheets/reports/dashboards) Highly proficient in: • Simple to complex formulas (i.e. nested if statements, cross-sheet formulas, calculations, searching) • Smartsheet automation and reminders • Alert specific people when tasks they are assigned to are overdue, • Request an update when a project reaches a certain stage, • Send a report/file/form to a specific person on a certain date or periodically • Coordinated Sheets, Dashboards and Reports • Conditional formatting Education Requirements: • Associates degree required • Bachelor’s degree preferred Other Qualifications, Skills & Certifications: • 3 to 5 years of experience in a related position • Smartsheet training and/or current Smartsheet product or solution certification • Intermediate to advanced Smartsheet configuration of Data Mesh and Data Shuttle • Intermediate to advanced Smartsheet API configuration to ServiceNow and Tableau • Strong communication skills • Strong teamwork and growth mentality • Technical Project coordinator experience in a multi-unit environment • Flexibility and agility in availability to perform job functions • Remote work mindset – ability to stay focused, organized and on task in a home or office environment • Ability to learn quickly and adapt & Attention to detail • Training skills – ability to teach other people and come up with creative ways to do so • Comfortable in a matrix reporting environment • Experience with creating project plans and displaying data in a meaningful and effective way • Experience and ability to quickly learn and implement new software • Intermediate to advanced Excel skills

COMPETENCIES: • Full understanding of the functionality of how Smartsheet is currently used within the organization • Advanced understanding of Smartsheet formulas, including cross sheet formulas, sheet summaries, and creating metrics for reporting and data analytics. • Contribution to the continued improvement of the use of Smartsheet • Upkeep of the technical aspects of how Smartsheet links within itself and to other key operational systems across the organization. • Upkeep and oversight of how Smartsheet alerts function to key stakeholders • Upkeep, creation, and innovation of forms that relate to key operational processes • Troubleshooting and repair within Smartsheet • Training of the users in the organization regarding proper use, bug fixes, and innovations within Smartsheet • Create and streamline operational processes, using Smartsheet or other relevant software, and effectively roll out processes in an efficient manner to the organization • Use Microsoft Power Automate and other similar tools to communicate with Smartsheet API • Strong analytical and process design skills required, including a thorough understanding of how to anticipate and interpret customer needs. • Drives tasks to completion with little or no assistance from managers or team leads • Communication and collaboration with key departments; Functional Stream Leads, Program Managers, Project Managers, and project team members to understand the needs of the organization
